The Final Account for your Head Contract Retentions.
When you've reached the end of a contract and all work is completed, you can create a Final Account to send to your customer. This Final Account allows you to claim any outstanding retentions that are still being held. Additionally, this will officially close the associated Head Contract in Lentune.
It's important to note that the Final Account Claim should only be used for claiming remaining retentions, not the values from your contract lines. The contract line values should have been claimed separately before creating the Final Account.
Here's a step-by-step guide on how to create your Final Account Claim in Lentune:
- Access the Head Contract: Start at Payment Claims > Head Contracts and select the relevant Head Contract that you want to create the Final Account for.
- Add Claim: Click Add Claim to open the Claim creation modal.
- Retentions Tab: Click the Retentions tab. Here, you can enter the value of any outstanding retentions that you are claiming via this Final Account.
- Trade Summary Tab: Now, move to the Trade Summary tab. Here, you'll find a checkbox labeled Mark as Final Account. Tick this box. Upon doing so, you'll receive a message confirming your choice:
- You have selected to submit a Final Account – Are you sure you want to continue?
Note: Once you've submitted your Final Account, you won't be able to submit any further claims against this Head Contract.
- Claim Workflow: You can then proceed to mark this claim as Prepared and Approved, as per your standard workflows.
- Final Account Documentation: The Claim documentation created for you will be clearly marked as the Final Account, making it easy to identify.
- Invoice Creation: Finally, you can generate an invoice for this Final Account. This invoice will produce a receivable invoice for the remaining retention amounts that you can send to your customer.
By following these steps, you can efficiently create a Final Account Payment Claim in Lentune, ensuring that you receive any outstanding retentions and formally closing off the associated Head Contract.
