You can export existing user records and then import new or updated user records.
You can export a file of User codes from your system to an excel spreadsheet file. There is the option to export a Basic file or an Advanced file that contains many more fields. This gives you the template to add new records or edit existing records to reimport.
A control flag determines whether you have both the basic and advanced options available or not.
Control flag
- In the Administration > Settings > General tab, the field named Wholesaler determines if one or both the export format options are available.
- If this field is not ticked, then both options are available.
- If this field is ticked, then only the standard export format is available.
Export a User File
To export an excel file of user codes and details:
- Click through to Settings > Users.
- Click the button on the right hand side named Export / import / consolidate.
- Select the export format that you require. The fields contained in each file are detailed in the tables below.
This will create an .xlsx file. You can now add new records to this file or edit existing records.
Both file formats have one field for a Default Access Persona. This allows you to import new users and set them up with a Default Access Persona that assists you when setting up new Users.
Import a User File
Once you have edited your file, you can now re-import it. Existing records that you have not edited in the file will remain unchanged.
Note: When you add new record to import, leave the column for UserOid blank. This value will be assigned by the import process.
- Click back to Settings > Users and click the button on the right hand side Export / import / consolidate.
- Click Import.
In the Upload document window:
- Drag or browse to the file you want to import.
- Apply access persona set in default access persona field: If you have a Default Access Persona field populated in your file, you can tick this field to import that Access Persona as the default for the new user records that you are importing
- Click Confirm.
