How does the mapping of projects and jobs in SimPro work?

Everything starts with a site in simPRO, and often with multiple jobs created against each site.

Once the job has been created in Simpro, it is then created in Lentune as a Project and any relevant cost centres will sync across. 

In Lentune, you can view your jobs in the Projects area. The site name will be the project's description, and the code in Lentune referencing the job number in simPRO.


 

What if I have a multi company set up?

Lentune supports SimPro multi-company setups. The Company Names must be mapped exactly for this to work.

By default, when a job comes in from SimPro, it will be assigned to the first branch of that company.

If a company has two or more branches, you must use the custom fields. The custom field on the job in SimPro must be populated with the branch code you want it allocated to.

If there is only one branch per company in Lentune, this step is unnecessary, as it will default to the first branch each time.


 

What happens in Simpro if not all products are received on the invoice?

Is the Purchase Order partially received or receipted? Can it be changed?

You should match invoices lines only to those they match on the PO. If some PO lines aren’t listed, we do not touch these. You can still unlock a PO and edit it after Lentune receipts the invoices.

If the invoice has 10 items, but the PO has 20, then we receipt the 10 items. We post against quantity, not price.

You CAN remove a receipt in Simpro and re-receipt it.


 

We run a tight catalogue - can we delete the items you create when adding items?

Yes, we have a task that can delete any items we add from the catalogue, while keeping them listed on the PO.


How do you handle Stock PO's (i.e. with no job)?

We can process this, but it means all Lentune coding requirement settings are off.


 

How do you process Credit Notes?

There must be a receipt against the invoice for the same amount or more of the credit note to go through to SimPRO. (It MUST be line matched.) Refer to Approving Credits Notes with SimPRO integration for more information.


 

What happens if I don’t three way match?

If you don’t three way match the invoice items to the PO items and receipt them correctly, these invoice lines will be added to your PO in SimPro and double up on costs. Therefore, it's important that your approvers are aware of this impact.
